Privacy Policy
How NN Security Ltd collects, uses and protects your personal information. Last updated: 4 October 2026.
How we handle your information
This policy explains what personal information NN Security Ltd collects, why we need it, who we share it with and what your rights are. It applies when you use our website, ask us for a quote, use our services, or apply to work with us.
1. Who we are
NN Security Ltd is the controller of your personal information. We're a company registered in England and Wales, company number 16016415, with our postal address at 20 Wenlock Road, London N1 7GU. We're registered with the Information Commissioner's Office (ICO), registration number ZB941024.
For anything about your information, contact us at info@nnsecurity.uk.
2. Who this policy covers
- Clients and enquirers: people and businesses who ask us for a quote or book our services.
- Applicants and door supervisors: people who apply to work with us, and the self-employed door supervisors we engage. Applicants also see a recruitment privacy notice in our application form.
- Website visitors: anyone browsing nnsecurity.uk.
3. Information we collect
Clients and enquirers
- Name, email address, phone number and business address.
- Details of the service you need, such as the type of venue or event, dates, site address and number of officers.
- Anything else you tell us in the quote form, by email, by phone or on WhatsApp.
- Invoicing and payment details.
Applicants and door supervisors
- Name, email address, phone number and town or area.
- Whether you can work in the UK, your SIA licence number and expiry date, availability, experience and CV.
- If we take your application forward: passport, proof of right to work, photo, training certificates, proof of address, National Insurance number, work history and referee details.
- Bank details so we can pay you, and records of shifts, assignments and payments.
If we take your application forward, we also carry out a basic Disclosure and Barring Service (DBS) check. This involves criminal record information, which the law treats as especially sensitive. We only ask for it when we're considering engaging you, never in the initial application form. We also check your SIA licence on the SIA's public register.
Website visitors
- Basic analytics about the pages you visit, if you accept analytics cookies. See our Cookie Policy.
Body-worn camera footage
Some clients ask our officers to wear body-worn cameras. Footage may show members of the public. We agree with the client before the assignment who controls the footage and how it's handled.
4. Why we use your information and our legal basis
Data protection law requires a legal basis for each use of your information. These are ours:
| What we do | Legal basis |
|---|---|
| Reply to quote requests and enquiries | Steps you've asked us to take before entering a contract, or our legitimate interest in answering business enquiries |
| Provide, plan and invoice our services | Contract |
| Keep financial and tax records | Legal obligation |
| Assess applications and check SIA licences | Our legitimate interest in engaging suitable, licensed door supervisors, and steps before entering a contract |
| Check identity and right to work, and take up references | Legal obligation and our legitimate interests |
| Basic DBS (criminal record) checks | Our legitimate interests in engaging suitable officers for security work. Because this is criminal offence data, we also rely on the condition for preventing or detecting unlawful acts in Schedule 1 of the Data Protection Act 2018. |
| Manage and pay self-employed door supervisors | Contract and legal obligation |
| Handle body-worn camera footage | Our legitimate interests (or the client's) in preventing and detecting crime and protecting people |
| Website analytics cookies | Your consent |
| Deal with complaints, claims, incidents and requests from the police or regulators | Our legitimate interests and legal obligation |
Where we rely on legitimate interests, we've weighed them against your rights. You can ask us for details.
5. Where we get your information
Most of it comes from you. We also check SIA licence details on the SIA public register, and we may receive information about you from referees you name, from clients about an assignment, or from the police in connection with an incident.
6. Who we share it with
We don't sell your information. We share it only where we need to:
- Service providers who act on our instructions, including Zoho Corporation (our website, forms and CRM) and our IT, email and accounting providers.
- WhatsApp: if you message us on WhatsApp, Meta processes your messages under its own terms.
- Clients: we share an officer's name and SIA licence details with the client they're deployed to.
- DBS checks: the Disclosure and Barring Service, and any registered body that processes checks on our behalf.
- Regulators and authorities: the SIA, HMRC, the police and others when the law requires it or to deal with an incident.
- Professional advisers such as our accountant, insurers and lawyers.
- A buyer of our business, if we sell or merge it.
7. International transfers
Our Zoho account is hosted in the European Union, which the UK recognises as giving adequate protection. Some providers, including Zoho support teams and WhatsApp, may access or store data in other countries such as India or the United States. Where that happens, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum. Contact us if you'd like more detail.
8. How long we keep it

| Quote requests and enquiries that don't lead to work | 12 months from our last contact |
| Client contracts and invoices | 6 years after the end of the financial year they relate to |
| Applications that don't lead to work | Up to 12 months from the application date |
| Door supervisor records, including payments | 6 years after your last assignment with us |

| Website analytics | As set out in our Cookie Policy |
When we no longer need information, we delete it securely or anonymise it.
